Working in partnership with our Business Management team, one of our clients identified they could drive down the costs of an outsourced multi-site cleaning contract by managing the spend through our Neutral Vendor Managed Service. By transitioning the work from a management company to our model, the clients also would benefit from having full control of the department with complete visibility of costs, contracts and compliance.
The client was outsourcing the workload to a management company who were utilising recruitment agencies to find cleaners for the contract. The first step was for our client to speak to their current provider and understand what agencies they were using to recruit and manage the cleaners on-site. From there, our Head of On-Site Delivery, Jon Hindry, engaged with the agency by facilitating the temporary transition arrangement.
As a Neutral Vendor, we work with over 2,500 recruitment agencies across the UK, so when implementing new contracts, we normally transition 98% of suppliers from their existing contract onto equal or better terms. In this instance, we were actively working with the agency the management company were utilising with several other clients. This meant we already had terms agreed and could quickly build a new supply chain pathway to hire cleaners through our system for the client. Providing them the same service they were receiving through our Hybrid model pathway, that aligns their processes and drives visibility, with the benefits of direct access to call out of hours for holiday and sickness cover.
One of the key issues identified when making the transition was compliance as the cleaners needed DBS checks to be able to work on-site. To solve this, we added the requirement for all agency workers to have an enhanced DBS check in our compliance checks when releasing roles for new contractors. When organising the transition, we explored using TUPE but there would have been a cost implication, so we worked with the agency to transition workers with no cost implications charged to the client.
By transitioning from a management company to Matrix SCM, the client has reduced the cost of the cleaning contract and ensured they have greater visibility of what is happening across the multiple sites. This provided them with all the benefits associated with our Neutral Vendor Managed Service that they utilise for all there temporary staffing.
